USHER360 LTD ("Usher360", "we", "us") provides property coordination, maintenance and concierge services in Cyprus, through our website and through our mobile apps Usher360 (for customers) and Usher360 Staff (for our employees). We are the data controller for the personal data described here.

1. Information we collect
When you use our services or contact us: your name, email address, phone number and property address.
When you use the Usher360 app:

Your account: title, name, surname, email address, phone number and country code, preferred language and contact method, and whether you accepted these terms. If you sign in with Google, Facebook or Apple, we receive your name, email address and profile photo from them.

Billing details: whether you are an individual or a company, billing name, email, phone and address and, for companies, company name, registration number, VAT number and the contact person's details.

Your properties: property name, address, map location, notes, photos, and the details of the person responsible for access.

Your service history: subscriptions, services, visits, invoices, payments and emergency call-outs.

Messages and files: chats with our team, and any documents or photos you upload.

Payment details: card payments are handled entirely by Stripe on Stripe's own secure page. We never see or store your card number. We store only a Stripe customer reference and whether payment is set up.

Notifications: a device notification token, so we can send you updates about visits, messages and payments. You can turn notifications off at any time in the app or in your phone's settings.
When our staff use the Usher360 Staff app: we process their employment data, including name, contact details, profile photo, date of birth, nationality, spoken languages, availability, team, and records of their work such as visits, notes and call logs. Nationality is recorded because our workforce is international and we value that diversity; it is visible only to management. Staff who use the map can share their phone's location so a property or prospect can be pinned accurately; this is only used at that moment and only if they allow it.
The Usher360 customer app does not collect your phone's location, contacts, calendar or microphone, and neither app contains advertising or analytics tracking.
2. How we use your information
To deliver property management services, arrange and record visits, handle subscriptions and payments, issue invoices, answer concierge requests, support you through chat, and send you service notifications.
3. Legal basis for processing
We process data to perform our contract with you (services, billing and support), to meet legal obligations (tax and accounting records), and for our legitimate interests in running and improving our services. Notifications, optional photos and optional profile details are based on your consent, which you can withdraw at any time.
4. Data sharing & Third Parties
We share information with the technicians and specialists needed to complete your requested work, and with the service providers that run our systems on our behalf:

Google Firebase — accounts, database, file storage, notifications and server functions.

Stripe — card payments, subscriptions and invoices.

Google Maps and Places — address search and maps.

Google, Facebook and Apple — only if you choose to sign in with them.
We do not sell your personal data, and we do not share it for advertising.
International transfers: our database is hosted in the European Union. Some processing by Stripe and by our server functions takes place in the United States, under the safeguards those providers offer, such as the EU Standard Contractual Clauses.
5. Data Retention
We keep your account data for as long as you have an account with us.
When your account is deleted, we remove your login, your profile, your saved payment method, your chats and messages, the photos and documents you uploaded, and your notification settings.
We keep your invoices, the payments made against them, and the record of services carried out at your property, for six years from the end of the tax year they relate to, because Cyprus tax and VAT law requires us to. An invoice is a legal document: it carries the billing name, address and, for company customers, the VAT number that were correct when it was issued. We cannot remove those details from an invoice and still meet our obligations, so they remain on it for the six years.
After that period those records are deleted.
Staff records are kept for as long as the person works with us, and afterwards for as long as employment and tax law requires.
6. Your Rights
You may ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or receive it in a portable form. Write to iam@usher360.com and we will reply within one month.
Deleting your account: in the Usher360 app, open Profile → Delete Account. It is immediate. If you cannot sign in, use https://www.usher360.com/delete-account.
Your right to have data deleted is not absolute. Where the law requires us to keep a record — an invoice or a payment, for six years — we keep it for that period even if you ask us to delete your account, and we delete it when the period ends. Everything that is not required by law is deleted when you ask.
If you believe we have handled your data wrongly, you can complain to the Office of the Commissioner for Personal Data Protection in Cyprus (www.dataprotection.gov.cy).
7. Cookies & Tracking Technology
Our website uses cookies to help navigation and to understand how the site is used. Our mobile apps do not use cookies or advertising trackers.
8. Children
Our services are intended for adults. We do not knowingly create accounts for anyone under 16.
9. Changes to this policy
We will update this page when our services or the law change, and we will change the "last updated" date.
